Receptionist

We are seeking a Receptionist to handle our front desk on a daily basis and to carry out various administrative and clerical tasks.

What does a Receptionist do?

For a Receptionist, you could be the first reason for contact for the company. Our Receptionist’s duties include offering administrative support along the organization. You are going to welcome guests and greet people visiting the business. You’ll coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

Job Responsibilities:

  • Greet and welcome guests as soon as they arrive at your workplace
  • Direct targeted traffic to the perfect person and office
  • Answer, screen and forward incoming telephone calls
  • Ensure reception desk is tidy and presentable, with all of necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by simply following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Order front buy office supplies over and inventory of stock
  • Update calendars and schedule meetings
  • Arrange travel and accommodations, and prepare vouchers
  • Keep updated records of office expenses and charges
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

Candidate Requirements:

  • Proven experience being a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on knowledge of office equipment (e.g. faxes and copiers and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to become resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, having the ability to prioritize tasks
  • Customer care attitude
  • High school degree; additional certification in Office Management is a plus
