Office Manager

We are looking for an Office manager to get ready and coordinate administration duties and office procedures. Your role would be to create and conserve a pleasant workplace, ensuring high numbers of organizational effectiveness, communication and safety.

Office manager responsibilities include scheduling meetings and appointments, making on the internet coupons arrangements, greeting visitors and providing general administrative support to your employees. Previous experience as a Front office manager or Office administrator could well be an advantage. An effective Office manager also need to have knowledge about many different office software (email tools, spreadsheets and databases) and also accurately handle administrative duties.

Ultimately, the Office manager will be able to be sure the smooth running of the workplace and increase company procedures and day-to-day operation.

Job Responsibilities:

  • Work as the point person for office manager duties including:
    • Maintenance
    • Mailing
    • Supplies
    • Equipment
    • Bills
    • Errands
    • Shopping
  • Schedule meetings and appointments
  • Organize the workplace layout and order stationery and equipment
  • Maintain the workplace condition and arrange necessary repairs
  • Partner with HR to update and gaze after office policies as necessary
  • Organize office operations and operations
  • Coordinate with IT department on all office equipment
  • Ensure that products are invoiced and paid in time
  • Manage contract and price negotiations with office vendors, carrier’s networks and office lease
  • Manage office, ensure accurate and timely reporting
  • Provide general support to visitors
  • Help out with the on boarding process for brand spanking new hires
  • Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Plan in-house or off-site activities, like parties, celebrations and conferences

Candidate Requirements:

  • Proven experience as being an Office manager, Front office manager or Administrative assistant
  • Information about office administrator responsibilities, systems and operations
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Practical knowledge about office machines (e.g. faxes and printers)
  • Knowledge of email scheduling tools, like Email Scheduler and Boomerang
  • Excellent time management techniques and power to multi-task and prioritize work
  • Awareness of detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills inside a fast-paced environment
  • A creative mind with the skills to suggest improvements
  • High School degree; additional qualification as being an Administrative assistant or Secretary has to be plus
